POSITION SUMMARY/PURPOSE

The member and office assistant will assist the Executive Director and members of the board with their job duties. This team member will perform a wide range of administrative and office support activities to facilitate the efficient operation of the organization.

RESPONSIBILITIES AND DUTIES

Provides administrative support to the Louisa County Chamber of Commerce, coordinates office and event operations, communications and schedules; maintains membership records (through Chamber Master); ensures orderly and professional office appearance.

WRITTEN MATERIALS/CORRESPONDENCE: The assistant will be responsible for written materials and correspondence as requested by the Executive Director. This will include basic writing, editing and mailing/e-mailing. This area of responsibility will range from letters of reply, photocopies, e-mails, sending information packets, to preparing agendas and minutes, organizing mass mailings and assisting Executive Director in preparing official Chamber publications.

PUBLIC RELATIONS: The assistant shall be professional and supportive of the Chamber and its activities. On occasion the assistant may be required to speak at events on behalf of the Chamber or its committees.

MANAGING OFFICE SUPPLIES: Managing office supplies will be the responsibility of the assistant. The assistant will note the quantity and types of materials used and/or needed. When supplies are needed, it will be the responsibility of the assistant to order unless otherwise instructed by the Executive Director.

COMMITTEES & PROJECTS: The assistant may assist in the coordination of all Chamber committees and projects as assigned by the Executive Director. When necessary, the assistant will lead Committee meetings, take minutes and report to Executive Director all updates related to meeting.

CHAMBER BOARD SECRETARY: The assistant may be responsible for taking minutes at board meetings and transcribing those minutes. Send out Board Packets and update boards and committees as assigned.

MEMBERSHIP: The assistant will assist the Membership Committee and Executive Director in maintaining the membership database through Chamber Master. Send out all invoices to Chamber Members and log invoices and payments when received. Assist Executive Director and Board of Directors with developing, planning, and implementing member events, ribbon cuttings, mixers and other activities as assigned.

GENERAL HOUSEKEEPING: The assistant will share the responsibility of keeping the office clean and presentable to all visitors.

SUPPORT TO EXECUTIVE DIRECTOR: Cooperation with the Executive Director will be essential to the assistant's position. Tasks may be assigned that have not been listed as part of the job description. The assistant shall be responsible for taking the initiative for completing the tasks once assigned.

 

EDUCATION AND EXPERIENCE
High school degree or equivalent required. Minimum two years’ experience in administrative or office assistant work. Basic computer and typing skills required. Must have knowledge of standard office equipment; must have knowledge of clerical and administrative procedures and systems such as filing and record keeping. Must have basic knowledge of principles and practices of basic management.

Wages commensurate with experience

Salary: $15.00 to $18.00 /hour

Experience: Must be proficient with Word, Excel, Email, Facebook, YouTube, Linked In and Instagram
