OVERVIEW
The Office Assistant is responsible for performing a range of clerical and administrative tasks to support daily operations in an office setting. Their duties include correspondence, greeting office visitors, providing member assistance as needed, and coordinating with the Executive Director in support of all Chamber activities. This role requires high levels of attention to detail as well as exceptional organizational, communication, and multitasking skills.

Responsibilities
- Assist with member support activities, such as answering phone calls, responding to emails, data entry and providing resources.
- Coordinate and assist with event planning tasks, such as scheduling meetings, booking venues, arranging catering, and managing event materials.
- Utilize QuickBooks or other accounting software to assist with bookkeeping tasks, such as invoicing members, tracking expenses, accepting payments, and reconciling accounts.
- Act as a personal assistant to the office manager or executive staff by managing calendars, scheduling appointments, and making travel arrangements.
- Perform administrative duties including organizing and maintaining files, tracking deadlines, keeping meeting minutes, and assisting with documentation.
- Perform clerical duties including filing documents, data entry, photocopying, and scanning.
- Process mail, make bank deposits, and handle general office operations.
- Order and maintain the office supplies and equipment, ensuring the office remains presentable.
Qualifications
- Intermediate to advanced proficiency using computer software programs such as Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks.
- High levels of professionalism, teamwork, and patience.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to multitask and prioritize tasks effectively.
- Excellent written and verbal communication skills, with the ability to engage professionally with members and the public.
- Self-motivated, capable of working independently and taking initiative.
- High school diploma or equivalent experience.
Preferred Skills
- Experience in office administration, marketing, event planning, coordination, nonprofit management, or similar fields.
- Courses in business, public administration, nonprofit management, event planning, or similar.
- Familiarity with CRM software and event management tools.
- Understanding of local business practices and community engagement.
