Part Time Administrative Assistant

Summary:

The part-time Administrative Assistant will perform a very specific set of clerical and administrative duties and tasks requiring a general understanding and knowledge of the operations and functions in Community Development. This position may deal directly with the public and elected officials, appropriate discretion must be maintained, as required.

Essential Functions of the Position:

• Answer telephone, direct calls to the appropriate staff member, respond to general inquiries, receive inspection requests,

• Review and organize existing paper files by category type, including rezoning, conditional use permits, variances, site plans, etc.; and prepare for scanning;

• Scan documents of all sizes, using a copier/scanner and a commercial plotter.

• Save individual files into the appropriate electronic folder for future staff access.

• Quality check previously scanned files for completeness and being saved in the correct electronic folder.

• Organize paper files by category type and file number for storage off-site.

• Responsible for ensuring that all relevant records needed in support of the department's legal, operational and historical requirements are maintained in compliance with local and state regulations.

• Assist with preparation of notices and mailings.

• Special projects as may be required for the Department.

Required Knowledge, Skills and Abilities:

• Ability to plan and prioritize work load and anticipate and schedule future work requirements; ability to follow complex oral and written directions.

• Ability to maintain complex records.

• Ability to perform job requirements in a timely, accurate manner, including follow-through on tasks.

• A working knowledge of best practices of office procedures, English, grammar, punctuation and arithmetic.

• Excellent organizational skills, analytical, and problem-solving skills, effective listening skills.

• Meticulous attention to detail and the ability to maintain confidential information is also essential.

• Skill in typing along with the ability to read, spell proofread, file alphabetically, numerically and chronologically.

• The ability to make independent decisions in accordance with established policies and procedures when problem solving.

• Ability to operate a computer, associated software and office technology to establish and maintain accurate and complete records, and to access, manipulate and verify data.

• Requires regular attendance and adherence to County policies and procedures regarding absences and tardiness and requesting time off from work.

Training & Education:

High school diploma or general education degree (GED). Execution of the duties associated with this position requires previous experience in a busy, fast paced environment.

Working Conditions:

• Environmental: Work is typically performed in an indoor setting. The department is currently open to the public Monday through Friday from 8:30 a.m. until 5:00 p.m.

• Physical Effort: Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Jobs are sedentary if walking or standing are required only occasionally, and all other sedentary criteria are met.

• Hazards: The Employee is subject to inside environmental conditions; protection from the weather conditions. No environmental hazards indicated for this classification.

Special Conditions or Requirements:

• Part-time position, up to 29 hours per week. Flexible scheduling may be considered.

• Must be willing to submit to a criminal background and Motor Vehicles check.

• Must consent to drug testing consistent with Louisa County’s Drug-Free Workplace Policy.

• Must possess a valid Driver’s License.

• Must maintain a driving record consistent with insurance industry standards in order to drive a County vehicle.

• Twelve (12) month probationary period.
